This is part of an email sent out today my Mike Hodgert.  It was directed at the NW but may have relevance in other areas too.  If you are from the NW, please note the part that we require the teachers to fully participate in the verification of parental release requirements.  The hammer that will come down on your team is severe if we find you cheating the kids in.  Please read it carefully and pass the information on to all others! We do not want to be disqualifying a team over this issue, but we will!

We really MUST HAVE ALL of the teachers help out with the insurance issues.  Particularly the 'Parental Minor Release' forms.  We need to be sure that a notary, you, or some other school employ is the witness and add your titles below the printed name.  The event name can be "2010 Northwest Electrathon Events" and then is good for the full year.  Also we need to be sure that ALL MINORS HAVE TO HAVE RELEASES SIGNED and turned in to the first race they attend.  To help insure this several of us have come up with a big incentive.  IF A TEACHER/ COACH BRINGS A MINOR STUDENT TO THE RACE AND IT IS DISCOVED THAT THE STUDENT DOES NOT HAVE A PARENTAL MINOR RELEASE ON FILE (OR READY TO TURN IN) AND THE COACH IS OR SHOULD BE AWARE OF THIS, THE WHOLE TEAM FROM THAT SCHOOL WILL BE TOLD THEY HAVE TO LEAVE THAT RACE AND WILL NOT BE ALLOWED TO RACE AT THE NEXT RACE.  It is a huge job for a race steward and the few helpers to put on a race and also keep track of all the realeases.  Which is why we need everyone's help.  We have to track down all of the students and match them up with releases, so the way we have done things in the past will not work.  What we are planning and working on is: -->When a student turns in their Minor Release they will be given a 'business card' that they put their name on and a race official signs and dates. This states that their form in on file.  -->At each race they will need to show this (or dig through the huge pile of forms turned in) and sign the "gang minor release form.'  -->At that time they will be given a wrist braclet that will let race officials know that that person is OK to drive, be in the pits area, around the cars, near the track, etc.  -->We will have at least one person at each race that will be walking around with both the 'minor gang release forms' and the 'adult gang release form' getting those signed.  -->Along with all of the adults and minors (students and other minors like borthers, etc.) from each school we will need to have all spectators sign the gang release forms and if a minor also have their parents sign the minor release form unless they are just in the 'designated SAFE spectator area.'  ------>We will probably not get all of this totally ready for the race this weekend but we will make every effort to have it ready by the Hood River Race on April 3rd.

I realize that this is a real pain for all of us but K & K says that if we have an incident and these procedures are not followed they will drop us from the insurence which mean that there will be few if any Electrathon Events across the nation.......

One thing that would be a good idea for the teachers to do to help verify compliance is for them to have a photocopy of the form with them. In the event of a form being lost by the race official we will have verification that the origional was signed. Then in the next week the teacher can have the student fill out a new form.
